The Natural Resources Defense Council (NRDC) is a non-profit environmental advocacy organization. We use law, science, and the support of 3.1 million members and online activists to protect the planet's wildlife and wild places and to ensure the rights of all people to clean air, clean water, and healthy communities. NRDC was founded in 1970 and our staff helped write some of America's bedrock environmental laws, including the Clean Water Act, and many of the implementing regulations. Position Summary:


NRDC is seeking a Senior Administrative Assistant to work with the senior leadership of the Communications team in our New York City office. This position manages the office of two Managing Directors, one of whom is currently serving as NRDC’s Interim Chief Communications Officer, and a third member of the senior leadership team. The candidate will provide full day-to-day administrative support for the smooth and efficient operations of the team including calendar management and scheduling, planning travel logistics, and meeting coordination. The candidate will also help support Communications leadership by ensuring that key projects stay on pace, helping to manage deadlines and project milestones, and providing meeting coordination, notes, and agendas.


The ideal candidate is a self-starter, a quick learner, and knows how to manage their own work and balance assignments. The individual in this role must be comfortable working in an independent, flexible, and efficient manner in a fast-paced work environment and be able to prioritize projects. Excellent research, writing, interpersonal, and project coordination skills are required. The candidate must be skilled at working in a collaborative culture and possess good judgment and know how to handle confidential information.

  • Provide administrative support to the three members of the senior leadership team in the Communications department including calendar management and scheduling, monitoring/responding to email, travel arrangements, invoice and expense reporting, file management, and meeting support.
  • Help to manage a busy calendar of projects and deadlines, including flagging priority items, delegating incoming requests as needed, and working with other support and leadership staff in the department and across the organization to coordinate work and deadlines.
  • Manage material gathering, administer the collaborative online space for materials and agendas, and participate in preparation for meetings on behalf of the senior leadership team (room reservations, lunch orders, and other coordination as appropriate). Ensure that meeting materials are prepared and provided to attendees.
  • Attend key meetings with the senior leadership team to take notes, track action items and manage follow up.
  • Coordinate travel arrangements and occasionally support the senior leadership team during travel.
  • Prepare briefing materials, conduct research, and draft documents.
  • Help to edit and prepare meeting materials for the board and other external stakeholders.
  • Provide ad-hoc hands-on support for a variety of projects and roles from start to finish.
  • Work collaboratively with other administrative staff across the organization to ensure that Communications’ senior leadership is connected to and working efficiently with other institutional leaders.


  • Minimum 5 years previous administrative or professional experience
  • Strong interpersonal skills and the ability to communicate with all levels and departments within the organization
  • Outstanding organizational skills, the ability to multitask, set priorities, follow institutional procedures and perform undirected work
  • Strong project management and project coordination skills
  • Proactive, detail-oriented, problem solver with the ability to deliver high-quality results on time
  • Ability to anticipate and prioritize needs
  • Experience working simultaneously with multiple teams on multiple priorities and projects
  • High degree of proficiency with Microsoft Office including Word, Excel, Outlook, and PowerPoint
  • Strong writing and researching skills
  • Willingness to be available for occasional overtime work

Job grade for this role is Builds 3 with a salary ranging from a minimum of $65,000 to a midpoint of $67,500. Internal equity considerations and the average salary of the peer range will be reviewed before making a final offer.
