Position Summary 

The Senior Workplace Management Specialist will oversee the efficient day-to-day operation of the Chicago and remote offices. The position is responsible for ensuring a safe and healthy work environment for staff, implementing policies and procedures, managing projects, and participating in institutional projects that impact the entire organization. The successful candidate will maintain a high level of customer service, support a workplace that embodies sustainability and health and wellness practices, have a holistic and innovative approach to workplace management and ensure that office policies and procedures are aligned with NRDC’s mission and values and DEI goals. This position reports to the Director of Office Planning.  

Responsibilities

Office & Building Management 

  • Coordinate facility maintenance and repairs, maintaining related building information and follow up with building management and ownership as needed.     
  • Research new vendors, collaborate with WS Operations Specialist on RFP processes, and coordinate purchasing, installation and maintenance of equipment and furniture that align with NRDC’s values and DEI goals.   
  • Collaborate on workplace requirements and guidelines to ensure alignment with NRDC’s Workplace values.    
  • Coordinate purchasing, maintenance and installation of equipment and furniture.     
  • Collaborate with Director of Office Planning to execute annual administrative plan and budget with full review of operations and maintenance costs.    
  • Under the direction of the Director for Office Planning, strategize and plan for remote office locations.  
  • Review and ensure accurate processing of Workplace Strategy invoices and expenses.    
  • Oversee emergency management for the Chicago and Montana offices including updates and protocols, coordinating training, and acting as the main point of contact for emergency related issues.    
  • Contract and coordinate vendors including security & fire life safety, cleaning, HVAC, and various maintenance and repair trades.   
  • Coordinate office services and policy reinforcement.   
  • Organize monthly all-staff meetings and employee engagement through events that support Community Building in collaboration with WS Engagement and Administration Manager.    
  • Communicate all Workplace Strategy related issues for the Chicago and Montana offices.   
  • Conduct office policy orientation for new employees, interns, and volunteers.    
  • Maintain NRDC energy management software for the Chicago office.    
  • Additional related duties as assigned.    

Culture 

  • Manage and support staff engagements that promote NRDC culture, such as full staff meetings, summer gatherings, annual holiday parties, etc.    
  • Implement and communicate office procedures and institutional policies.   
  • Oversee orientation of new employees and interns to our office and train them on office protocols and procedures including emergency preparedness.  
  • Provide a high level of employee engagement and positive experiences for both in-office and remote staff. 

Administrative 

  • Collaborate with DC Workplace Strategy Associate to oversee invoice processing.  
  • Oversee budget management under supervision of Director of Office Planning.   
  • Ensure staff and visitors are equipped with amenities and office supplies and have access to functional workspaces. 

Qualifications

  • Bachelor’s degree in a related field or equivalent combination of education and experience required, plus 2 years of work experience in related field. 
  • 2 years of experience in business administration, or accounts administration in the Operations or Facilities fields. 
  • 1-2 years of supervisory experience preferred.   
  • Previous experience in administration and office management (ideally 3+ years) 
  • Aptitude for facilities and building management and detail oriented. 
  • Experience in emergency management procedures and security control systems. 
  • Outstanding communication skills - written, oral, interpersonal – with the ability to communicate effectively and professionally with staff and external contacts. 
  • Commitment to NRDC’s mission, values and DEI initiatives. 
  • Strong people skills with the ability to build community that algins with the institutional culture and DEI goals. 
  • Self-directed with the ability to prioritize, manage and follow through on multiple tasks. 
  • Ability to work collaboratively, manage a heavy and diverse workload and execute duties independently while assessing situations with the “strategic big picture” in mind. 
  • Computer literacy is essential: ability to work with spreadsheets, databases, back-ends of systems, and adept to learning new technical systems and skills. 
  • Must thrive in an environment where multiple activities are ongoing. 
  • Ability to organize, coordinate and manage internal and external events. 
  • Event planning and management experience is a plus. 
  • Knowledge and/or interest in sustainability is a plus. 
  • Willingness to be available for occasional overtime work.

We offer competitive salaries, excellent benefits, and a supportive working environment. Salary is based on a nonprofit scale and is commensurate with skills and experience. Internal equity will be reviewed and considered to determine a final offer. For this position, the salary range is $78,000 to $90,000.  

 

Our offices are open and we are operating in a hybrid model. We offer NRDCers flexibility, and we ask them to come into the office and spend meaningful time there in collaboration with their colleagues. We call this purposeful presence.
