NRDC is a non-profit environmental advocacy organization. NRDC is seeking a Senior Coordinator to work with the Workplace Strategy team in our Santa Monica office. The NRDC offices are open and operate in a hybrid model, and this position will require a minimum of 3 days in the office a week.

 

Position Summary
NRDC is seeking a Senior Coordinator, Workplace Strategy based in the Santa Monica office who will be responsible for ensuring the office runs smoothly and efficiently by managing day to day operations, building maintenance and management projects, and providing a high-level of employee engagement to our staff and visitors. The person in this position will also help maintain NRDC’s commitment to more sustainable business operations.

Responsibilities

Office and Building Management:

  • Responsible for general management and efficient daily operations of the Santa Monica office, in line with NRDC’s commitment to maintaining environmentally sustainable business operations, including our solar array, graywater system, and following our sustainable purchasing and catering policies.
  • Coordinate, contract, and oversee facility maintenance and repairs, manage preventative maintenance of facility equipment, maintain related building logs and follow ups with property management and maintenance vendors.
  • Research new vendors that align with NRDC’s values and DEI goals, conduct RFP processes, and oversee purchasing, installation, and maintenance of sustainable equipment and furniture.
  • Use our ticketing system for receiving and responding to company program and office repair and maintenance requests, determining the nature of the problem(s) and either completing the request or recommending appropriate solutions to employees in a timely manner.  
  • Oversee emergency management for the Santa Monica office including updates and protocols, coordinating workshops, and acting as the backup point of contact for emergency related issues.
  • Manage and review space needs and process for space assignments and ensure alignment with NRDC’s Workplace values.

Office Culture:

  • Organize monthly all staff meetings and staff engagement through staff events that support Community Building.
  • Be the point of contact for coordinating office events, retreats, meetings, conference rooms and set up, and for Santa Monica's rooftop and public outreach center (Environmental Action Center).
  • Orient new employees and interns to our office and train them on office protocols and procedures.
  • Provide a high-level of employee engagement and positive experiences for both in-office and remote staff.
  • Oversee office services and policies.
  • Manage communication for the Santa Monica office for all Workplace Strategy related issues.

Administration:

  • Manage processing invoices and monitoring of expenses for Workplace Strategy Team.
  • Manage incoming and outgoing mail and deliveries.
  • Oversee Workplace Strategy general inbox for staff and public inquiries.
  • Oversee visitor management system and general office security.
  • Manage, take inventory, and purchase office supplies and staff requested items.

Qualifications

  • Previous experience in administration and office management (ideally 3+ years).
  • Aptitude for facilities and building management and detail oriented.
  • Experience in emergency management procedures and security control systems.
  • Outstanding communication skills - written, oral, interpersonal – with the ability to communicate effectively and professionally with staff and external contacts.
  • Commitment to NRDC’s mission, values, and DEI initiatives.
  • Strong people skills with the ability to build community that algins with the institutional culture and DEI goals.
  • Self-directed with the ability to prioritize, manage and follow through on multiple tasks.
  • Ability to work collaboratively, manage a heavy and diverse workload and execute duties independently while assessing situations with the “strategic big picture” in mind.
  • Computer literacy is essential: ability to work with spreadsheets, databases, back-ends of systems, and adept to learning new technical systems and skills.
  • Must thrive in an environment where multiple activities are ongoing.
  • Ability to organize, coordinate and manage internal and external events.
  • Event planning and management experience is a plus.
  • Knowledge and/or interest in sustainability is a plus.
  • Willingness to be available for occasional overtime work.

We offer competitive salaries, excellent benefits, and a supportive working environment. Salary is based on a nonprofit scale and is commensurate with skills and experience. Internal equity will be reviewed and considered to determine a final offer. For this position, the salary range is $75,000 to $83,000.

 

Our offices are open and we are operating in a hybrid model. We offer NRDCers flexibility, and we ask them to come into the office and spend meaningful time there in collaboration with their colleagues. We call this purposeful presence.
